Decoding HVAC Quotes: What Auckland Businesses Should Look for Before Signing

Getting three quotes for a commercial HVAC install is standard advice. But if all three quotes look different — and they always do — how do you actually compare them? A cheap quote isn't necessarily a better deal, and an expensive one isn't necessarily more thorough.

Here's what to look for, line by line, so you can compare quotes on a like-for-like basis.

Line Items That Should Be There

A proper commercial HVAC quote should itemise the following. If any are missing, ask why.

Equipment

• Make and model of every unit (indoor and outdoor)
• Capacity in kW — both cooling and heating
• Energy efficiency rating (star rating or COP/EER)
• Refrigerant type (R32 is current; R410a is being phased out)
• Warranty terms — parts and labour, and for how long

If the quote just says "Daikin 5kW unit" without a model number, you can't verify the spec. Model numbers matter because the same brand sells everything from entry-level to premium inverter units at very different price points.

Installation Scope

• Heat load calculation — this should be included, not optional
• Pipe runs and refrigerant line lengths
• Electrical work — new circuit, switchboard upgrade, or existing
• Ductwork (if applicable) — material, insulation, and runs
• Condensate drainage — where it goes and how it's routed
• Wall penetrations, ducting through ceilings, and any building work
• Commissioning and testing
• Clean-up and waste removal

Compliance and Documentation

• Electrical Certificate of Compliance (CoC)
• Refrigerant handling certificate
• Building consent documentation (if required)
• Code of Compliance documentation
• IQP sign-off for specified systems (commercial buildings)

If compliance documentation isn't listed as an inclusion, assume it's not included. You'll either pay extra for it later or find yourself without it during a BWOF audit.

Red Flags

No Heat Load Calculation

If a quote sizes the system based on floor area alone, without accounting for ceiling height, insulation, window area, occupancy, and equipment heat load, it's a guess. A system sized wrong will either short-cycle (too big) or never reach setpoint (too small). Both cost you money.

"Allow" or "Estimate" Without Caps

Quotes that say "allow $X for electrical" or "estimate for ducting" without a cap can blow out. Ask for a fixed price or a not-to-exceed amount on these items.

No Model Numbers

Without model numbers you can't compare apples to apples. One quote might include a premium inverter unit and another a basic model at the same capacity. The basic one is cheaper but costs more to run.

Excludes Compliance

Some quotes explicitly exclude compliance documentation. That means you're responsible for getting electrical and refrigerant certificates yourself — which usually costs more than having the installer do it as part of the job.

Vague Warranty Terms

"5-year warranty" means nothing if it's manufacturer-only and excludes labour. A proper warranty covers parts and labour for the full term, and the quote should say so.

How to Compare Quotes Fairly

Once you have itemised quotes, build a simple comparison table:

• List every inclusion from the most detailed quote
• For each other quote, mark whether that inclusion is present, absent, or unclear
• For unclear items, ask the supplier to clarify in writing
• Compare the total price only after the scope is equal

A $12,000 quote that includes compliance, a heat load calc, and a 5-year parts-and-labour warranty is better value than a $9,000 quote that excludes all three.
